
- Answer every call. Form leads and inbound calls must be responded to within 5 minutes. Speed is everything.
- Minimum follow-up: 14 days. Text, call, voicemail, and email follow-up is required on all leads for at least 2 weeks. Mix up your outreach times.
- Monitor messages. Facebook, Instagram, and other platforms often bring in leads via comments or DMs. Your team must check and respond regularly.
- Flag unqualified leads. If more than 20% of your monthly leads are unqualified, or if you’re converting under 50% of leads into estimates, let us know—we’ll work with you to improve quality and targeting.
- Project Photos (Before & After): Clean, well-lit images labeled by service type (exterior, interior, crawl space, mold, fire, etc.). Organize them into folders or tag them properly in CompanyCam.
- Team Photos: Your audience connects with people, not buildings. Snap photos of your crew on-site, at lunch, or during training. Group shots are great—bonus points if they’re branded.
- Personal Photos: A quick selfie outside in a branded shirt works wonders. Images with family, pets, or hobbies add personality and help build trust.
- Videos: Don’t overthink it. Pull out your phone and record short walkthroughs, before/after job site views, or answer a common customer question.
- Aim to collect reviews from 90% of your jobs. One review per job is ideal, one per week is the minimum.
- We’ve already built your automated review request system—make sure your team is confirming customer contact info and using the tools provided. (If you aren’t using our system then we will provided you our review request campaign)
- We respond to reviews within 20 minutes, but let us know if a review goes missing or is flagged by Google.
- Every review matters.
- Keep your lead tracking spreadsheet updated. We use this to refine strategy, adjust ad targeting, and improve conversion rates. No fluff—just data.
- Show up to monthly review calls. Please give 24 hours’ notice if you need to reschedule.
- Reply to messages from our team within a reasonable time frame. We’re quick to respond—we expect the same in return.
